Accounting Professional - QuickBooks Online Account Manager

Job Overview

Woman owned accounting and business advisory firm, looking for an experienced candidate to join our growing team of dynamic QuickBooks Online ProAdvisors. Team members work remotely overseeing the accounting for multiple small business clients.

Looking for an enthusiastic team player who can work independently but likes to collaborate with others via Zoom and phone.

Significant QuickBooks Online experience required. Payroll experience preferred. Must be a quick learner who adapts to new situations well and is computer savvy.

Part-time flexible starting around, 20 hours per week, working up to full time (30+).

Job Responsibilities:

  1. Oversee the monthly accounting and audits for multiple companies including handling the following:
    • Posting downloaded transactions and reconciling bank, credit card and loan accounts.
    • Accounts Payables:
      • Enter bills directly into QBO or via Dext or Melio
      • Process bill payments through Melio, QBO Bill Pay and through client’s bank account
      • Prepare cash flow report for clients following established procedures
    • Accounts Receivables:
      • Projects – Estimates, Progress Invoicing
      • Monitor / review invoices
      • Apply payments received
      • Make deposits
      • Oversee account receivables
    • Payroll processing
    • Sales tax processing and payments in QBO and file and pay at CDTFA
    • Inventory management – Products and Services, COGS
    • Classes and/or locations
    • Run and audit financial statements (Profit and Loss, and Balance Sheet)
    • Process 1099’s
    • Other complex transactions
  2. Complete project work as assigned, including but not limited to:
    • Download and attach statements for all accounts
    • Post downloaded transactions for all accounts, including splitting principal and interest payment on loans
    • Reconcile all checking, savings, and loan accounts
    • Chart of Accounts clean up including numbering, reordering, merging, or inactivating as directed
    • Review asset and liability accounts and clean up as needed
    • Review mapping of all payroll items and clean up / remap as needed
    • Review sales tax and clean up any incorrect information, possible reentering historical data to be accurate
    • Develop systems for posting daily sales receipts if an outside app is being used
    • Any other tasks as needed
  3. General responsibilities for all assigned clients.
    • Update password app with client info as changes occur.
    • Review and compare Wrike monthly service lists and most recent schedules on a quarterly basis to ensure everything matches.
    • Set-up and keep Office 365 OneDrive files current.
    • Create procedures based on monthly service agreement and update as needed.
    • Set up and monitor Wrike daily with tasks and assignments.
    • Monitor email box for any communications from the clients or documents attached by the client and follow up as required.
  4. General Company Duties:
    • Communicate with other team members as needed via Wrike, text, phone, and email.
    • Monitor and respond to emails in your private company Outlook email box.
    • Attend team video meetings.
    • Attend one on one video/phone meetings with management as requested or other team members as needed.
    • Complete training as required (webinars, books, QBO newsletters and updates).
    • Annual QBO ProAdvisor certification study and testing.
    • Complete state required sexual harassment and any other training required per mandated schedule.
    • Complete annual employee reviews.
    • Extra tasks assigned by management -ex. short term projects to assist with company systems.
    • Login and logout daily separating client work and administrative work on QuickBooks Time.
    • Track non-monthly service work as Change Orders, making notes in file for future contract updates.
    • Review timecard and make any necessary adjustments before each pay period.
    • Request sick time and/or vacation time as needed in advance.
    • Keep work calendar up to date with time sensitive regular items and any other vital work to stay on task following company protocols
    • Post your daily schedule on Outlook calendar, including marking off time when you are not available.
    • Update E-Set, clear cookies, and other routine IT tasks regularly and work with remote IT technician as needed to keep computer running properly.

General Information:

  • Hours may vary but are anticipated to be between 20-35 hours per week.
  • Hours are flexible and the schedule is self-directed within normal business hours M-F (Pacific Time) except specifically required times.

Education and Experience:

  • Working knowledge of relevant computer applications
    • QuickBooks Online including QuickBooks Online Payroll
    • Windows Office 365 – Outlook, OneDrive, Excel, and Word
    • Wrike Project Management
  • Experience in accounting or bookkeeping required
  • Knowledge of relevant regulatory requirements (e.g., payroll and sales tax)
  • Knowledge of data management and filing practices.
